Navigating Document Requirements for Teaching in China: A UK Teacher’s Guide

If you’re a UK teacher dreaming of moving to China, you’ve likely encountered a maze of document requirements. Between background checks, notarisation, and apostilles, the process can feel overwhelming. But don’t worry—you’re not alone, and it’s more straightforward than it seems once you understand the key steps.

Understanding the Background Check: DBS vs. ACRO

One of the first hurdles is the police check. China officially accepts both the DBS (Disclosure and Barring Service) certificate and the ACRO police certificate. However, the Basic DBS is the most common choice for teachers who are not currently employed by a UK institution.

The Basic DBS is available to anyone, regardless of employment status. You can apply directly online through the government website. It costs around £23 and takes 5–10 working days to arrive. This certificate shows any unspent convictions, which is what Chinese authorities typically require.

If you’ve had a previous employer sponsor a DBS, you cannot simply reuse it—you’ll need a fresh one for your China application.

The Notarisation Dilemma: Post Office vs. Professional Notary

Here’s where many teachers get stuck. After obtaining your degree certificate and police check, you need to have them notarised before they can be apostilled and sent to the Chinese embassy.

The good news: UK Post Office certification is generally not accepted for Chinese visa applications. While the Post Office offers a certified copy service for £12.75, Chinese authorities require documents to be notarised by a regulated notary public or a solicitor who is registered with the Solicitors Regulation Authority (SRA).

If you use a Post Office certificate, your application may be rejected, costing you time and money. The safest route is a professional notary.

Finding an Affordable Notary

Don’t pay £100 per document—many notaries offer competitive rates. Look for a mobile notary or a high street solicitor who offers notarisation services. Prices typically range from £30–£60 per document. You can find them by searching online directories such as the Society of Notaries Public or asking local solicitors for a quote.

Some teachers recommend using an online notary service, which can be convenient. Just ensure they are SRA-regulated and that their work will be accepted by the Foreign, Commonwealth & Development Office (FCDO) for apostille.

The Apostille Process

Once notarised, your documents must be apostilled by the FCDO. This confirms the notary’s signature and seal is genuine. You can send documents by post or use a drop-off service in selected cities. The cost is approximately £30 per document and takes 5–10 working days (or 24 hours for a priority service).

After the apostille, you’ll need to have the documents legalised by the Chinese Embassy or Consulate in London. This step can be done by post or in person. Fees vary but are usually around £50–£70 per document.

Why Recruiters Lose Interest

When recruiters ask for documents “prepared” but not yet apostilled, they mean you should have the original documents, notarised, apostilled, and legalised ready to go. If you say, “I’m still working on them,” they may move on to candidates who are fully prepared.

The best approach: start the process immediately. Even without a job offer, you can obtain your Basic DBS and degree notarisation. This shows recruiters you are serious and organised.

A Practical Timeline

If you start in June, aim to have your Basic DBS ordered within a week. Meanwhile, gather your degree and other certificates. Book a notary appointment for early July. Send all documents to the FCDO for apostille in mid-July. Finally, submit to the Chinese embassy by early August. This timeline gives you a window before the school year starts in September.

Remember: don’t cut corners with Post Office certification. Investing in a proper notary now saves heartache later.
